TradeMail Privacy Policy

Effective Date: July 25, 2026

Introduction

TradeMail deeply understands the importance of privacy and data security to global enterprises and users. We are committed to protecting your digital assets through technological order. This Privacy Policy outlines how we process and safeguard your information when you use TradeMail web platform, browser extensions, and desktop clients (collectively, the 'Service').

1. Information We Collect and How We Process It

  • Account & Authentication: When you register, we collect your email, organization name, and payment credentials. These are used solely for account management, global billing via platforms like Stripe, and critical system notifications.

  • Service Operations & Configuration: To provide intelligent lead discovery and compliance audits, the system processes business keywords and public B/L queries you initiate. This data follows a 'burn-after-reading' mechanism and is not permanently stored on the cloud.

  • Device & System Logs: To ensure security, compliance, and stability across platforms, the system automatically logs anonymized device types, OS versions, crash logs, and network security telemetry. This data contains no PII.

2. Edge-Side Encryption & Privacy Architecture

  • Local Isolated Sandbox: Your communication channel credentials, sensitive keys, local configurations, and audit histories are fully encrypted and stored exclusively within your local device's secure enclave (e.g., system Keychain). TradeMail cloud servers never upload or parse these credentials.

  • Non-Intrusive Emulation: Our cross-platform content injection utilizes proprietary, non-intrusive virtual behavior simulation technology. It executes entirely outside the cloud within your local secure sandbox, eliminating data leakage and platform account risks.

  • Zero Cloud Retention: All heavy text analytics and wizard-driven semantic computations run instantaneously in memory variables. Upon completion, a secure erasure mechanism is triggered, ensuring zero cloud retention and full immunity from PII penalties.

3. Information Sharing, Transfer, and Disclosure

  • We Never Sell Data: We never sell, rent, or trade any of your data, including behavior logs, commercial intents, or account information, to any third party.

  • Subprocessors: In rare necessary scenarios (e.g., global anti-fraud, payment processing, core cloud infrastructure), we may collaborate with third-party providers complying with top-tier global standards (such as SOC 2 or GDPR), governed by strict Data Processing Agreements (DPA).

  • Legal Disclosure: Unless compelled by applicable international law, valid court subpoenas, or legitimate legal processes from jurisdictions with authority, we will never disclose any data to governments or third parties.

4. Global Data Transfers & Cross-Border Compliance

  • Compliant Transfer Mechanisms: As a global SaaS, our infrastructure spans multiple core global backbone nodes. For users in the EU or regions with strict cross-border data restrictions, data processing strictly adheres to EU Standard Contractual Clauses (SCCs) or equivalent frameworks.

  • GDPR/CCPA Rights Guarantee: We fully support your global privacy rights. You can exercise your rights to Access, Correction, Portability, and Erasure (Right to be Forgotten) of your account data at any time via the system console.

5. Data Security & Technical Safeguards

We employ an enterprise-grade defense matrix. All network transmissions are strictly encrypted using TLS 1.3 / AES-256. Cloud production environments enforce strict Zero Trust access control and physically isolated network gateways, accompanied by periodic third-party security audits.

6. Children's Privacy

Our services are strictly directed to business entities (B2B) and individuals with full legal capacity. We do not knowingly collect personal information from minors. If any minor's data is accidentally collected, we will initiate high-priority erasure upon verification.

7. Changes to This Policy

We may revise this Privacy Policy to reflect evolving global compliance landscapes or system iterations. Any material changes will be explicitly communicated via in-platform highlights, system notifications, or official announcements.
